Quote follow-up: a rhythm that wins more work
Most quotes that go quiet were never rejected. They were simply not followed up. A simple rhythm changes that.
The three-touch rhythm
| When | Purpose | Example message |
|---|---|---|
| Same day | Check it arrived and is clear | “Sent the quote for the two units. Any questions on the options?” |
| Day 2 to 3 | A useful reminder | “We have a slot on Thursday morning if you would like to go ahead.” |
| Day 7 | Close the loop | “Has anything changed? Happy to adjust the quote or answer any questions.” |
Each message gives the customer something: a clarification, a concrete time or an easy way to say no. That is what separates follow-up from chasing.
Quotes that need less follow-up
- Send it the same day, while the customer is still deciding.
- Show options, such as repair now or replace, so the question becomes “which one” rather than “yes or no”.
- Make scope and VAT clear, so the total holds when the invoice arrives.
- Let the customer approve from their phone with one tap.
Learn from lost quotes
When a quote is lost, record one reason: price, timing, went with another company, no longer needed or no reply. After a month, the pattern is usually obvious. Mostly “no reply” means follow-up; mostly “price” may mean the quote does not explain the value, or you are quoting the wrong customers.
Stop after the third touch. A polite final message keeps the door open; a fifth reminder closes it.
The moment a quote is approved
- Thank the customer and confirm the approved option in writing.
- Book the job straight away while you have their attention.
- Carry the scope and price into the job, so the technician knows what was agreed.
- Invoice from the same scope when the work is done, so the total matches the quote.
Keep every open quote in one place
Follow-up fails when quotes live in sent emails, WhatsApp chats and a notebook. Keep one list of open quotes with the date sent, the customer and the next follow-up date. Review it every morning. The list does not need to be clever; it needs to be the only one.
Frequently asked questions
Should follow-ups be on WhatsApp or a call?
Whichever the customer used to contact you. For most home-services customers in the UAE, that is WhatsApp. Messages sent outside the normal reply window need an approved template.
Can follow-ups be automatic?
Yes. Set the timing once and let software send the reminder, then hand the quote back to its owner if there is still no reply.
